Getting Started
What do I need to get started?

1. Begin with a call to the center of your choice.

2. Then, you will complete an initial inquiry form to get the latest information for ABA coverage with your policy.

3. Next, our Board Certified Behavior Analysts (BCBAs) will request an authorization to assess your child to determine amount of services needed and create an individualized treatment plan to accompany the comprehensive authorization packet.

4. The packet is sent to your primary physician for signature and then to insurance for final approval.

5. As soon as we receive approval, we will begin ABA therapy for your child and regular parent meetings (every 4-6 weeks). We work as a team from start to finish!

Insurance
What type of insurance do you accept?

We accept most private fully funded and self-funded insurance and Medicaid, AHCCCS, IowaHHS, GAMMIS, NEDHHS, grants, and state funding such as Children’s Special Healthcare Services. We do have private pay options as well. Circle City ABA works with families to blend and recommend additional funding sources to reduce the out of pocket costs. If you have any questions, our friendly intake team is always available to help you.

Does Circle City ABA Accept Tricare and Medicaid?

Yes, we accept Tricare, Medicaid and Medicaid variations for each state we serve. This includes AHCCCS, IowaHHS, GAMMIS, and NEDHHS.

Therapy Details
How do I start ABA Therapy services for my child?

Contact our professional Admissions team, who will walk you through each step of the insurance and enrollment process. In addition, we always work with families to find multiple funding options to reduce costs.

How do you manage safety concerns at your ABA Therapy centers?

At Circle City ABA, we prioritize safety above everything else. Before opening our centers, we plan and prepare for safety measures. We conduct regular safety maintenance, updates, drills, and training to ensure that our centers are always safe for everyone. For example, we lock our centers to permit only known guests inside. We also conduct regular fire and emergency drills and external safety audits by local fire departments and other service providers. For additional safety, we use cameras.
To ensure the safety of our clients, we perform national background screens of all employees, as well as initial and random drug screens. In addition, we conduct daily and quarterly equipment, toys, buildings, and materials checks.
If any safety concerns arise, staff members can report them to their direct supervisor, while parents can bring theirs to the Center Operations Director or their assigned BCBA. We promptly address all safety concerns and send them to the Director of Operations or Regional Clinical Director for review.

How many therapists will be working with my child?

A child will be assigned to an AM and a PM therapist if they are full-time. When therapists are out for the day, a therapist on the same team who knows the child will work with the child. When a child is prepared to work on responding to new or novel people, we assign them to a new therapist either in the AM or PM. The BCBA will discuss any planned changes in monthly parent meetings. Furthermore, our online data collection system, Rethink, offers a parent portal that allows parents to view who is working with their child in real-time and the targets being worked on.

What sort of training do your therapists receive?

The initial therapist training includes 40 hours of modules with shadowing opportunities between modules. The BCBA assigned to the new staff will provide ongoing training with each assigned client and will provide continuous feedback and assistance. In addition, Circle City ABA has continuous training levels developed to provide professional development and more in-depth knowledge of ABA.

How often does staff do training?

The 40-hour modules take place in the first two weeks of employment. The ongoing training is daily or weekly as needed. Registered Behavior Technicians receive 5% of their scheduled hours as supervised time by their BCBA.

How much direct supervision do Behavior Technicians receive from BCBAs weekly?

Registered Behavior Technicians receive 5% of their scheduled hours as supervised time by their Board Certified Behavior Analyst (BCBA).

What does a typical ABA session look like?

Every ABA session is individualized for every client.  Therefore, no two are the same.

Goals & Progress
How do you determine goals for my child?

The BCBA determines goals through an initial assessment, which creates an Individual Treatment Plan for each client. Caregivers also complete parent interviews, biopsychosocial documents, and reinforcer profiles to understand their goals and history of services, education, medical, and other client needs. Do you consider input from parents? We see parents and caregivers as the “expert” of their child. Therefore, we insist on ongoing feedback, participation, and family communication. Circle City ABA creates a team for the child with our staff (BCBA, OT, SLP, RBT), family, educators, medical professionals, and any other service provider to provide excellence in a comprehensive treatment package to facilitate appropriate transition planning.

How often do you re-evaluate goals?

Although assessments are typically conducted every six months, BCBAs continually update treatment plans, provide Behavior Consultation, and regularly assess needs and goals.

How is progress evaluated?

Formalized and standardized assessments are initially used to gain a baseline of strengths and deficits and then for ongoing evaluation to develop the next set of goals. We select ABA Therapy assessments based on each client’s age and skill level.

How many hours per week can you provide?

We provide part-time and full-time services for ABA therapy, Behavior Consultation, OT, and Speech (when a position is filled). Only some children we assess will require full-time. The BCBAs will determine the medically necessary treatment for the individual’s best outcomes and progress.

How often do parents receive training?

Parents will schedule parent meetings every 4-6 weeks in the center to meet with their assigned Board Certified Behavior Analyst (BCBA). Reviewing progress and ongoing needs across ABA Therapy environments is critical. Therefore, this is a great time to collaborate, plan, and connect as your child’s biggest cheerleaders. At Circle City ABA, we insist on parent/guardian participation, as this is the best way to generalize progress from the center to home, school, and community.

Can you provide services outside of the ABA Therapy center?

Board Certified Behavior Analysts (BCBAs) will recommend the best environment for your child to receive ABA Therapy services. For some, it is our excellent state-of-the-art autism center. For other children, a combination of school/center, home/center, or other service options depends on individual needs, funding source requirements, and limitations.
